COPYWRITER FOR AFRICAN AMERICAN CIVIL RIGHTS VISITORS GUIDE
Visit Annapolis & Anne Arundel County, Inc. (VAAAC) is requesting proposals from copywriters to provide high quality visual historic interpretive products for public consumption as described in this Request for Proposal (RFP) for the 2024 African American Civil Rights Visitors Guide.
COMPANY DESCRIPTION
VAAAC is a nonprofit, membership-based Destination Marketing Organization (DMO) that generates revenues for the local economy by promoting Annapolis, Anne Arundel County, and the Chesapeake Bay region to leisure and business travelers across the country and around the world. As the county DMO, VAAAC executes strategic marketing and sales campaigns that position our destination to key markets encouraging first-time, as well as repeat, visitation to the county.
SCOPE OF SERVICES REQUIRED
VAAAC will produce both a digital and printed, 20-page, full-color, soft-cover guide which will include a brief overview of the Civil Rights Movement in Annapolis and Anne Arundel County (all history content will be provided), location information and a brief description of 60 pre- selected sites, detailed map(s), photos and illustrations, and other design/content elements.
VAAAC is seeking a creative writer to provide all the written content for the visitor guide including, but not limited to, accurately portraying true inspirational stories of resilience and resistance related to the Civil Rights Movement and providing concise descriptions of the 60 pre- selected Civil Rights sites. The selected copywriter will work as part of the in-house production/editorial team. The selected vendor will have a content-driven, collaborative approach, and a strong focus on the end-user.
ANTICIPATED TIMELINE:
Award contract by August 4, 2023; final printed guides delivered by January 12, 2024. The selected copywriter will work with VAAAC staff to produce a production schedule to successfully meet the delivery date.
PROPOSAL REQUIREMENTS
Proposals will be evaluated on the quality and relevance of the response to the following criteria.
Please include in your proposal:
- Your conceptual approach to this project (i.e., understanding the team, the audience, and the requirements; not spec work on design).
- Executive Summary / Company Overview. A one-page summary introducing the individual(s) or staff as well as the qualifications of those who will work on the project.
- Provide a summary of background experience and basic understanding of the services required and the reason why the copywriter should be selected.
- Writing samples. Provide links to writing samples and a CV/resume that demonstrates experience producing similar work.
- Fees. Provide (1) detailed pricing structure which includes details of all costs associated with researching and writing the content for the visitor guide with detail on process, number of drafts, etc. Please include the hourly rate(s) for work outside of the scope of the project. Include a suggested production schedule based on the award date (August 4, 2023) and the delivery date of printed guided (January 12, 2024) and a commitment to the deadline for delivery. The submitted proposal is not to exceed a total cost of $8,000.
- References. List of references of clients (representing diverse audiences) of work including name, address, email, and contact number.
- Other information. Any additional information that you believe is relevant to this RFP and you/your agency’s capability to provide the writing services requested.
RESPONSE DEADLINE & DETAIL
All proposals submitted in response to this RFP, which shall not exceed five pages (not including samples), must be submitted to accounting@visitannapolis.org (include Civil Rights Copywriter RFP in subject line) and must be received by VAAAC no later than 5:00 PM on July 21, 2023.
VAAAC reserves the right to: a. Reject any proposal that is not received by the response deadline or is otherwise nonresponsive to the RFP. b. Reject any or all proposals submitted in response to the RFP. c. Request additional information from the agency or individual. d. Withdraw the RFP at any time and for any reason. e. Award the engagement in its sole discretion or make multiple or partial awards.
All proposals and other documentation submitted in response to the RFP: a. Become VAAAC’s property unless otherwise noted. b. Will not be returned by VAAAC unless otherwise agreed to prior to submission. c. Must be clearly marked as confidential, if you/your agency considers any material or information contained in its proposal or other confidential documentation. VAAAC cannot guarantee the confidentiality of any materials provided in response to this RFP.
All costs of responding to the RFP, including making a presentation, if any, to VAAAC and any related expenses, are the responsibility of the responding agency or individual.
CONFLICT OF INTEREST
The selected copywriter or agency must be free of any conflict of interest with VAAAC. If a new or potential conflict of interest arises after VAAAC retains the selected copywriter/agency, the awardee agrees to promptly notify and consult with VAAAC to address and resolve the conflict.
